You have put years of hard work, dedication, and undying passion to your work and to the company. After all these years, finally you are about to retire and begin a new chapter of life. Retirement brings a new beginning of life where you get to enjoy all those things you left behind, or had to sacrifice because you had other responsibilities to take care of. But not anymore. The new life, a life that doesn't include stress and tension from work is waiting for you. However, before you take a step forward, you need to notify the company about your retirement plans. The retirement letter could be for your staff and/or addressed to the company, depending on which organization you are working with. To give you an idea as to how this letter should be formatted, we have provided couple of samples to help you write your retirement announcement letter. So read through the article carefully.

Announcing Retirement to Staff/Company

Even though this is a formal letter, the tone however need not be one. This letter is completely different from an interview or a business letter. So instead, use a non-formal tone where you are stating the purpose for the letter and revolves around appreciating the company, its workers, and giving farewell from your side. Dear Sir/Madam (or last name if you know whom to address directly),

In this first paragraph, the information about your retirement has to be stated. Write that you have had a wonderful journey in the company and that releasing your duties from (the current position) will be quite difficult for you. Also mention that you are grateful as to the amount of love, support, and encouragement you've received from everyone here will be memorable.

In the second paragraph, mention how the company, your department, and the employees have played an important role in shaping your career. If this letter is going to your superior, thank him/her for all the opportunities provided, and write how you will never be able to forget it. If this letter is going to your department or staff, encourage them to keep working hard even after you've left, and how their dedication to work was always appreciated by you.

Subject: Announcement of a Retirement

Dear Sir/Madam (or last name if you know whom to address directly),

The information written in this letter would be somewhat same with the example given above. The only difference is the formatting of the letter. While writing the letter, do mention the exact date of your retirement and mention that you want the company to relieve you of all your duties pertaining to the company and department.

In the second paragraph, you can mention that you are open to train and guide your replacement, if the company accepts the offer. Mention that the process of your payment of salary due and gratuity should be taken care of. Also, inquire about your "Employees Provident Fund Statement" and that it should be issued, so you could collect it from the EPF office.

Finally, write that you wish to thank the company, your colleagues, and your department for providing you with the same love and support they've shown for the duration of your service.
